WebTA Shift Suffix Codes

Federal Wage System (FWS) or Wage Grade (WG) Employees

Shift suffix codes are used to record time in pay status for all FWS and WG employees. The NFC system uses this code to determine the shift rate at which the employee is paid and whether the employee is entitled to a night and/or Sunday differential. Valid shift suffix codes which are recorded with and transaction code (TC) that indicates time in pay status are as follows:

  • Shift 1 – First shift in which a majority of regularly scheduled non-overtime hours are worked between 7:00 am and 3:00 pm; 
  • Shift 2 - Second shift in which a majority of regularly scheduled non-overtime hours are between 3:00 pm and 12:00 midnight; and
  • Shift 3 - Third shift in which a majority of regularly scheduled non-overtime hours are between 11:00 pm and 8:00 am. 

A majority of hours means a number of whole hours greater than one-half (including meal breaks) of the employee's daily tour.

Different shift suffix codes are used to record time in pay for all FWS employees IF the regular schedule includes Sunday:

  • Shift 5 - Sunday Differential during first shift hours for Union Representation recorded with TCs 35, 36, 37 and 38; and for Paid Leave hours recorded with administrative leave (TC 66) ONLY IF recorded on the same day with Holiday Worked (TC 31); 
  • Shift 6 - Sunday Differential during second shift hours for Union Representation recorded with TCs 35, 36, 37 and 38; and for Paid Leave hours recorded with administrative leave (TC 66) ONLY IF recorded on the same day with Holiday Worked (TC 31); and
  • Shift 7 - Sunday Differential during third shift hours for Union Representation recorded with TCs 35, 36, 37 and 38; and for Paid Leave hours recorded with administrative leave (TC 66) ONLY IF recorded on the same day with Holiday Worked) TC 31. 

Note: When recording a Sunday Holiday Worked, the hours recorded under Holiday Worked may never exceed the hours recorded under TC 66.

Classified or General Schedule (GS) Employees

Shift suffix codes are used to record entitlement to night differential and/or Sunday differential for GS employees whose regular work schedule includes the hours between 6:00 p.m. and 6:00 a.m. (i.e., the night differential period). Note that entitlement to night differential is only applicable to hours of paid leave if the total paid leave (except for holiday, military leave, OWCP or administrative leave) during the pay period is less than 8 hours. 

GS employees whose regular work schedule includes Sunday are entitled to Sunday differential. Sunday differential is paid only for non-overtime hours worked. Valid shift suffix codes are:

  • Shift 2 - Night differential for Union Representation hours recorded with TCs 35, 36, 37 or 38; for Paid Leave hours recorded with TCs 59, 61, 62/62, 63, 65, 66, 61/66, 67, 68, or 69;
  • Shift 3 - Sunday differential for Union Representation hours recorded with TCs 35, 36, 37, and 38; and for Paid Leave hours recorded with administrative leave (TC 66) ONLY IF recorded on the same day with Holiday Worked (TC 31); and
  • Shift 4 - Sunday differential during night differential hours for Union Representation recorded with TCs 35, 36, 37 and 38; and for Paid Leave hours recorded with administrative leave (TC 66) ONLY IF recorded on the same day with Holiday Worked (TC 31).

When recording a Sunday Holiday Worked, the hours recorded under Holiday Worked may never exceed the hours recorded under Administrative Leave. Also, if an employee loses entitlement to night differential due to use of 8 or more hours of leave (excluding administrative leave, TC 66), then shift suffix code 4 may not be used; record the Sunday differential hours using shift suffix code "3".
